What is my role as a session organizer and/or moderator?
Prior to the conference you should
Communicate with your speakers to decide how best to structure the session. Make sure each speaker knows time limits and has information on AV requirements.
On the day of your session you should
- Ensure that you and your speakers arrive in your designated room at least 15 minutes ahead of time. A roving AV technician will stop by to help ensure your presentations and microphones are set. If you need anything during the session, signal to the conference volunteer or text 1.510.859.7229
- Start and end your sessions on time. This is very important because schedules are tight, and the next session needs the courtesy of having time to set up. The front area of the room should be completely cleared no later than 10 minutes after the scheduled end time.
- Read any pre-written announcements that have been left on the podium sheet for you. As a person with a microphone, we depend on you to help reinforce useful info like bus departure times, etc. Ask attendees to note the location of the emergency exit nearest them.
- Leave the room as you found it.
What should I do if there is an emergency during my session?
In case of emergency during your session AT THE MARRIOTT:
Dial x6666 from any house phone to reach the hotel’s internal emergency number or dial 9-911 from a house phone to reach public emergency services. Cell service on the Yerba Buena level can be unreliable. Take note of the nearest house phone when you arrive in your room.
In case of emergency ON THE UC BERKELEY CAMPUS:
Dial 9-1-1 from any phone (on or off campus) to report an imminent threat to life or property.
