* To register at the member rate, you must be a member of a WFSJ-affiliated association at the time of registration. Please check the list of member associations here.

The basic registration fee includes most events from Thursday, October 26 to Sunday, October 30. Field trips require an additional fee ranging from $20 to $45. See the Program listing for specific trip costs. In general, meals are not provided by the conference unless otherwise specified in the program.


Cancellation and Refund Policy

Cancellations must be made by emailing wcsj@tmiexpos.com. No other method will be recognized. Registrants who cancel between May 1 and August 1, 2017 will receive a full refund less a $100.00 USD administrative fee. Registrants who cancel between August 2 and close of registration on October 12, 2017 will receive a full refund less a $150.00 USD administrative fee.

No refunds will be provided for cancellations received after the close of registration on October 12, 2017.

Information for Visa Applicants and Other International Travelers

This conference (WCSJ 2017) has been registered by the U.S. National Academies of Sciences, Engineering, and Medicine on their official list of international science meetings taking place in the United States in 2017. The Academies list is maintained for the U.S. Department of State and is available for U.S. embassies and consulates worldwide.

The Academies’ International Visitors Office, which maintains a very helpful resource for travelers, recommends that meeting participants from countries for which visas are required for entry into the U.S. begin their application process at least four months before their travel date. Attendees should bring evidence of their professional accreditation (published work for freelancers) and an English-language CV to their consulate visa interview. Attendees may also request a general letter of invitation from WCSJ2017 during the online conference registration process. Issued electronically as a PDF and general in nature, this letter may take up to two weeks to receive. Please plan ahead.

Registration Refunds Due to a Visa Denial

Visa processing can require long lead times. Please plan accordingly and begin the process 4-6 months ahead of your travel. If your visa has been denied, or you were refused entry after obtaining a visa, and you would like to be considered for a registration refund, please make sure you have either an official denial document from a U.S. Consulate or a stamped copy of your application form, showing the date when you applied and the date your visa application was denied. The refund request must be received in writing by October 30, 2017. No refunds will be made for cancellations received after that date. Not all requests for a refund may be approved.
